Job Description

Summary

The Collection Specialist provides financial, clerical and administrative services to ensure efficient, timely and accurate collection of receivable accounts in support of the Company’s collection goals. Collection efforts are time sensitive, requiring excellent skills in organization and management of time, efforts, and resources. Recognition of significant credit risks and escalation of these matters are critical.

Essential Duties and Accountabilities

1.      Contacts customers regarding invoices / accounts which are past due. Provide information as requested in order to facilitate a quick remittance

2.      Identifies account risks, potential credit problems, disputes, and other customer issues

3.      Identifies errors , including misapplied payments, late charges to be reversed and over payments to be refunded or applied

4.      Maintains quality relationships with customers, managers and customer service, keeping sales managers informed and involved of issues at all times.

5.      Provides excellent and considerate customer service to customers and sales personnel.

6.      Communicates with customers via phone, email, mail or personally and investigate and resolve customer queries.

7.      Processes Dunning Letters along with making collection calls to customers.

8.      Produces weekly and monthly reporting to management.

9.      Meets defined department goals and activity metrics.

10.  Accountable for collection and reporting activities according to specific deadlines.

11.  Performs additional administrative duties as necessary and assigned.

12.  Monitors customer account details and identify and investigate non-payment issues

13.  Exercises judgment in selecting methods, techniques and evaluation criteria for obtaining results.

14.  Cross trains in the Billing Process for backup purposes.  

15.  Backups the Accounts Receivable Manager which includes releasing sales orders and processing credit card payments.

16.  Responsible for working according to the company’s safety and quality standards.

17.  Maintains a safe and clean work area.

18.  Performs other related duties as required and as assigned.

Qualifications

§  High School Diploma or its equivalent.

§  Two (2) years high volume collections experience and goal oriented.

§  Knowledge of Billing and Collections procedures.

§  Basic Microsoft Office Software experience such as Word and Excel.

§  Excellent written and verbal communication abilities.

§  Commitment to excellent customer service.

§  Regular and predictable attendance is an essential function for this position.

§  Must be authorized to work in the USA.

Physical Demands and Working Conditions

  • Requires sitting for a prolonged period of time.
Requires dexterity and coordination to handle files and boxes up to 25 lbs.
Requires minimum reaching for items above and below desk level.
Requires strength, coordination and vision to use keyboard and video display terminal for prolonged periods.
