Summary

The Payroll Manager is responsible for all aspects of payroll by supporting and assisting the operations in obtaining information for payroll processing. This person also will work on all tax correspondence along with garnishments and levies. Works closely with operations on gathering employee total hours, responds to and resolves questions and problems regarding payroll.

Essential Duties and Accountabilities

1.      Monitors department input of hours to ensure accuracy of data received is in accordance with prescribed payroll timetable.

2.      Reviews, supports and assists operations in obtaining information for payroll processing.

3.      Works with Management and HR to resolve payroll issues.

4.      Processes bi-weekly and weekly payroll and makes all associated entries and adjustments to ensure accuracy.

5.      Compiles payroll data such as garnishments, vacation time, sick time, insurance and 401(k) deductions.

6.      Pulls electronic time clocks (Kronos) and reviews the downloaded information for completeness and accuracy.

7.      Contacts various department supervisors for any missed times.

8.      Processes weekly transfers of payroll data to Kronos.

9.      Pulls various internal management reports from Kronos Software.

10.  Remains informed of Federal/State/Local wage, tax laws changes internal contractual changes impacting the payroll operation and participates in the planning and implementation of programs to impact these changes.

11.  Performs routine and non-routine data retrieval, research, analysis, and reporting from the payroll records as requested.

12.  Acts as liaison between Kronos and company for troubleshooting and general information as necessary.

13.  Acts as a system-wide payroll resource by resolving problems of a non-routine nature and by communicating system-wide payroll procedural changes to payroll contacts.

14.  Maintains the quarterly Employer’s Tax Return, Form 941, for the Internal Revenue Service and the State of Florida and any other appropriate forms as it relates to payroll.

15.  Assists with the production of W-2’s.

16.   Maintains the database tables and Payroll Procedures manual.

17.  Responds and resolve questions and problems employees may have regarding payroll.

18.  Processes all court-ordered or tax levied wage garnishments and ensures timely payment thereof.

19.  Responsible for working according to the company’s safety and quality standards.

20.  Maintains a safe and clean work area.

21.  Performs additional duties as assigned or required.

Qualifications

  • Associate's degree (A.A) or equivalent from two-year College or equivalent formal training.
  • Two (2) to three (3) years of Kronos Workforce Now Payroll experience.
  • Solid understanding of payroll and payroll tax laws.
  • Proficient in Microsoft Office Software programs such as Word and Excel.  
  • Must speak, write and understand English. Spanish is a plus.
  • The ability to maintain confidential information.
  • Regular and predictable attendance is an essential function for this position
  • Must be authorized to work in the USA

Physical Demands and Working Conditions

  • Requires sitting for a prolonged period of time.
  • Requires dexterity and coordination to handle files, boxes and materials.
  • Requires minimum reaching for items above and below desk level.
  • Requires strength, coordination and vision to use keyboard and video display terminal for prolonged periods.

§  Requires walking, bending, stooping, pushing, pulling, and lifting up to 25 lbs. unassisted.

§  Requires repetitive movements with fingers, hands, wrist, and arms.
